Licences & Powers of Attorney Module

Monitor representation authorities and company licences before they become an operational obstacle.

Companies and subsidiaries need to track many licences, powers of attorney, undertakings, and authorizations, inside or outside the country—whether issued by the parent to an executive, by Legal Affairs to an external firm, or between parent/subsidiaries. Without a unified record of validity and expiry periods, a commercial or legal action can stop because a power of attorney or licence has expired, scope is unclear, or an updated copy is missing.

The LAWMAX module manages company licences, powers of attorney, undertakings, and authorizations issued inside and outside the country, recording validity period, expiry date, authorizing entity, and authorized entity, with advance expiry alerts. Each power/licence is linked to the relevant company/subsidiary, supporting operational readiness while legal review of validity remains Legal Affairs’ responsibility.

What Does the Module Display / Manage?

  • Document type: licence, power of attorney, undertaking, or authorization; number; and authentication authority.
  • Scope and limits of authority, granting company/department, and authorized entity/person.
  • Whether the document is valid inside or outside the country.
  • Issue, expiry, renewal, cancellation, or replacement date.
  • Alerts for licences and powers of attorney nearing expiry.
  • Statistics on reasons for cancelling powers of attorney or not renewing licences.

Questions This Module Answers

  • Which licences or powers of attorney will expire soon?
  • What scope of authority is recorded in each document?
  • Is an updated, approved copy in the file?
  • Which subsidiary/entity is linked to each power of attorney or licence?
  • What is the document status: active, expired, cancelled, or replaced?

How Does It Help Firm Management and the Team?

Monitors representation authorities and licences of the company/subsidiaries and prevents gaps from surfacing at a critical time.

Reviews power-of-attorney/licence data before taking action or signing on behalf of the company.

Receives early alerts and follows up renewal or document completion.

Stores copies and links them to subsidiaries, departments, and authorized entities.

Value & Operational Return

  • Reduce risk that commercial or legal procedures stop because a power of attorney or licence has expired.
  • Support readiness for the legal representation of the company and its subsidiaries inside and outside the country.
  • Provide an organized record of licences, powers of attorney, undertakings, and authorizations.
  • Reduce reliance on paper copies and files scattered across subsidiaries.
  • Support business continuity when the file owner is absent or the file moves between departments.

The module does more than remind users of expiry dates; it brings representation authorities and licences across the parent company and its subsidiaries into one record that can be tracked and reviewed.
