Judicial Expenses Module

Clearly Separate Judicial Expenses from General Budgets and Expenditures

An insurance company’s Legal Affairs department may pay fees or judicial expenses on behalf of the company or one of its branches for a particular claim file or case. These are not general operating expenses, but amounts that must be settled and tracked independently within the legal budget of each file. When mixed with general accounts, it becomes difficult to know the true judicial-expense balance at company, branch, or individual-claim level, and to distinguish it from the actual expense recorded in the legal-risk register.

LAWMAX’s Judicial Expenses Module provides a separate path for recording expenses and linking them to cases, claim files, and branches, attaching supporting evidence, and tracking paid amounts, settlements, and current balances, helping maintain transparency in the financial relationship between Legal Affairs, Finance, and beneficiary branches.

What Does the Module Display / Manage?

  • Judicial expenses linked to one or more claims or cases. Expense type, payee, date, amount, and currency. Copy of receipt or proof of payment and the user who recorded the transaction. Branch or claim file linked to the expense. Payments by the branch or Finance to settle the expense. Notification of the branch or Claims Department about the expense when an approved channel is enabled. Expense, payment, and balance reports by file, branch, or period.

Questions This Module Answers

  • What expenses has Legal Affairs paid on behalf of a branch or claim file? What has been settled and what remains outstanding? What expenses are linked to a particular claim or case? Has proof of payment been attached and the transaction approved? What expenses are expected before their due date?

How Does It Help Firm Management and the Team?

Records expenses and tracks payment and balance. Company Lawyer/Legal Counsel: knows the expenses linked to the case without mixing them with other expenditures. Legal Department: monitors amounts paid on behalf of branches or claim files and helps prevent their accumulation. Claims Department: can receive a clear report showing expenses, payments, and balance for each claim file.

Value & Operational Return

  • Clarify each branch’s or claim file’s position regarding outstanding expenses. Reduce disputes or ambiguity about amounts paid by Legal Affairs. Improve control over case-related expenses. Support financial transparency among Legal Affairs, branches, and Finance.

The Judicial Expenses Module helps preserve clarity in the financial relationship between Legal Affairs, company branches, and claim files, reduces disputes or ambiguity about amounts paid on their behalf, improves control over case-related expenses, and prevents recovered amounts from being mixed with the general budget or other operating expenses.
